Office manager

We are looking for someone to join and enrich our team. Someone who brings experience and enthusiasm in both office management and HR support. In other words, will you be our new Heart of Office?

 

About GroupMapping

Our team consists of some 25 consultants who advise our clients on strategy, change management and organisational development. We are a flat organisation, with committed and creative enthusiasts.

About the role

Because every organisation's office manager is different, below you can see what we ask of you in this role. As office manager, you have a central role in our team. You ensure that our team can focus on their work in the best possible way because all personnel and office matters are organised down to the last detail:

  • Administrative and secretarial support: You will support our management and team in the broadest sense of the word. This includes welcoming guests, managing the central GroupMapping calendar and answering the phone, as well as things like keeping the Google Drive environment up to date and answering ad-hoc questions.
 
  • Planning and coordination: You will be responsible for planning GroupMapping-wide meetings, events and trainings and keep the GroupMapping calendar up-to-date. You ensure that all colleagues are well informed about planned activities and that everything runs smoothly.
 
  • HR support: You will support management in various tasks, such as onboarding new colleagues, managing personnel administration and coordinating recruitment and selection processes. You ensure that every colleague feels welcome and valued, from the first contact to their daily work. You also actively think about opportunities and solutions that ensure we remain a modern employer.
 
  • Facility management: You make sure everything in the office* is well organised. From coffee and office supplies to laptops and cleaning services - you manage stock and order what's needed. You liaise with suppliers, manage contracts and make sure our office always feels like home, both for our clients and our colleagues.
 
  • Event organiser: You take the lead in organising outings and events for the organisation. Whether it's a cosy get-together or a larger corporate activity, you make sure everything is organised from A to Z, including location, catering and planning.
 

*We will be moving to Weesp early next year. In your first few months, support in preparing for this move will also be part of your duties, and your workplace after that will be in Weesp (a 5-minute walk from the station).

You are flexible, proactive, assertive and have a positive and open attitude. Someone who can keep an overview of constantly changing situations like no other. Your mission is to help the organisation we are so proud of grow and prosper. You are a true connector, with an interest in people.
